Faculty Mentoring Resources

At NYU Langone, the Office of Mentoring and Faculty Development provides resources to help mentees, mentors, mentoring champions, and department chairs to understand their responsibilities for attaining mentoring milestones. This “mentoring toolbox” also contains documents and offers guidance on how to facilitate the administrative aspects of mentoring programs.

You can access the following documents by logging into our intranet using your Kerberos ID. You may also wish to refer to the Simplified Guide to the Appointments, Promotions, and Tenure Processes at NYU School of Medicine (Kerberos ID and password required).

Encounter Sheets

Use encounter sheets to plan and record mentoring session discussions and collect information for the annual mentoring letter. Access the following tailored encounter sheets for tenure-eligible, nontenure-eligible faculty, and faculty educators here. Please note that the encounter sheets cannot be used to replace the annual mentoring letter. We encourage you to use the annual mentoring letter templates provided on this page for that purpose.

Annual Mentor Letters

Each year, the mentoring team provides the junior faculty mentee with a written summary letter, which is also sent to the department chair. Though it catalogs accomplishments, it is more than a progress report; it also includes an overview of agreed-upon career goals, challenges and deadlines honored and missed, and goals for the upcoming year.

The report may also include an assessment of the suitability of the faculty member’s current academic track and whether a track change should be considered. It assesses progress toward promotion or tenure and offers a potential timeline for attaining these goals. The department chair and the appointments and promotion committee use these reports in their third- and sixth-year review of tenure-eligible faculty.

At their annual faculty meeting, chairs, or their designees, discuss the mentors’ assessment with the faculty mentee. The chair indicates her or his level of agreement with the letter, and then the chair and mentee sign the annual report, which is kept on file in the Office of Faculty Records.
